On test day, you will need to listen to and read a prompt (of about 60 words) that describes an everyday situation. You are given 20 seconds to think about your response and then 40 seconds to speak.

In the Respond to a Situation task, one of the key scoring factors is ‘Appropriacy’—which measures how well your response matches the context and tone of the situation. Appropriacy refers to how suitable and natural your response is based on:
- politeness & formality – using the right level of politeness based on the situation
- relevance – staying on topic and directly addressing the scenario
- cultural awareness – using language that fits everyday communication norms.

Here is a typical PTE Core Responding to a Situation question:
You are dining at a restaurant and have been looking forward to your meal. However, the service is slow and when the waiter brings your order, they give you the wrong dish and side order. You are disappointed and want to inform the waiter about the mistake and explain what you originally ordered.
What would you say to the waiter?
After reading the question, you can see that this is a ‘making complaint’ style of question. The key to answering this question type is to be respectful and polite, while at the same time, being firm. Take note of how our student responded respectfully and politely in the model answer below.

Step 1: The Greeting- start with a polite greeting to set a respectful tone.
For example, you might say:
Hello, I don’t want to impose because I see that you are busy, however, I think there is a mistake
Step 2: State the Problem Clearly- explain the situation without sounding rude or demanding.
For example you might say
The mistake is that I ordered the gluten-free spaghetti carbonara but it appears that you have given me spaghetti bolognaise with what appears to be regular pasta. I also took quite a while to be served. I would have thought it is a fairly simple order and should not have taken so long.
Step 3: Request a Solution- politely suggest a solution such as asking for a correction or discount.
For example, you might say:
I was really excited to come here tonight and am quite disappointed with the service so far. I can’t eat non gluten-free pasta, so I was wondering if you are able to fix my order for me. I don’t have a lot of time left, if replacing my order isn;t possible, I don’t want to have to pay.
Step 4: Make a Concluding Statement- end with a concluding statement that is polite and provides a very brief summary.
For example, you could say:
I really appreciate you taking the time to listen to my concerns and hope that you can find a solution that does not cause problems for you.

The answer above is a good answer for several reasons. First, by using the 4-Step approach, you can provide a clear and well-structured response. Second, the tone is polite and professional. You should be sure to use phrases like ‘excuse me’ and ‘I really appreciate your help’. Finally, it offers a respectful solution or path forward that is non-demanding.
